Office Secretary

Job Description:

  1. Administrative Support: Performing various administrative duties, including answering phones, responding to emails, scheduling appointments, and managing office correspondence.
  2. Customer Service: Providing assistance to clients, dental professionals, and visitors by addressing inquiries, providing information, and ensuring a positive experience.
  3. Records Management: Maintaining and organizing office records, including patient files, orders, invoices, and other documentation, ensuring accuracy and confidentiality.
  4. Order Processing: Assisting in the processing and tracking of incoming and outgoing dental cases, managing paperwork related to case orders, and coordinating with technicians.
  5. Billing and Invoicing: Generating invoices, processing payments, and handling billing-related tasks, ensuring accuracy and timeliness.
  6. Inventory Management: Monitoring and maintaining office supplies, tracking inventory levels, and placing orders when necessary.
  7. Office Coordination: Assisting in organizing office events, meetings, or presentations, and coordinating office logistics.

Job Requirements:

  1. Education: A high school diploma or equivalent is typically required. Additional education or certification in office administration or related fields may be beneficial.
  2. Administrative Skills: Strong organizational, multitasking, and time management skills to handle various administrative tasks efficiently.
  3. Communication Skills: Excellent verbal and written communication skills to interact effectively with clients, dental professionals, and colleagues.
  4. Customer Service Orientation: A customer-focused approach with a friendly and helpful demeanor when assisting clients and addressing their inquiries.
  5. Attention to Detail: Ability to maintain accurate records, process paperwork with precision, and ensure attention to detail in all administrative tasks.
  6. Computer Proficiency: Competency in using office software, including word processing, spreadsheets, and email, to perform office-related tasks.
  7. Adaptability and Flexibility: Capability to adapt to changing priorities, work under pressure, and handle unexpected situations in a fast-paced environment.
  8. Confidentiality: Understanding and commitment to maintaining patient confidentiality and handling sensitive information with discretion.
